Privacy Policy

Last updated: 4 September 2026 · This policy explains how PMCompare (“we”, “we”, “us”) collects, uses, and protects your personal information, in accordance with the Privacy Act 2020 and its Information Privacy Principles.

1.What we collect

  • From landlords: property address, property type and specs, current management status, motivation, structured questionnaire answers (occupancy, Healthy Homes status, pets, furnishing, preferred start date, open questions), your optional estimated weekly rent expectation, full name, email address, and mobile number.
  • From agencies: business name, contact details, REA licence number, service areas, default fee settings, and payment details (held by our PCI-compliant payment processor — never on our servers).
  • From third parties: publicly available Google Places review data for agency profiles, shown only as a star rating and review count — for example “★ 4.9 / 5 (120 reviews)”.
  • Automatically: device and usage data (IP address, browser type, pages visited), plus server-side audit logs of platform activity.

2.Vault anonymisation & gated release

This is the core of how we protect you. Your name, property address and mobile number are treated as sensitive. They are never shown to agencies while they are bidding, never included in a lead summary, and never sold or shared with third parties.

Property manager identities are equally protected in your Vault: until an introduction has settled, a proposal appears as “Verified Local Agency · Name revealed upon introduction” with identifying details masked. Your contact details are not released before the relevant introduction has settled — that is, the introduction fee has been paid, or an authorised discretionary credit has been applied. At that moment, and only then, the property manager’s full name and contact details are revealed to you, and your contact details and property address are released to that one property manager.

There is no waiting period. You can withdraw a request or move on to another property manager at any time, and nothing is released for a request you withdraw before it settles.

3.How we use your information

  • To match landlords with suitable agencies and generate comparable proposals.
  • To operate the Proposal Vault, countdown timers, and handover documents.
  • To process introduction fees, platform credits, and receipts (landlords are never charged).
  • To send automated server-side email alerts when a new proposal is submitted, and secure passwordless access links.
  • To improve matching and fee calculations, and to prevent misuse of the platform.

We do not build advertising profiles, and we do not send marketing emails you have not requested.

4.Who can see what

Agencies (before selection): suburb, property type, beds/baths, weekly rent estimate, motivation and questionnaire answers — no name, no address, no phone, no direct contact.

The property manager you ask to speak with: your full name, email, mobile and property address, released once that introduction has settled so they can begin your transition.

PMCompare staff: role-based access limited to staff who operate the service, under controlled and logged access.

5.Storage, security & audit logs

Data is encrypted in transit (TLS) and at rest, on secure infrastructure. Access is role-based and regularly reviewed, and payment card data is tokenised directly with our payment processor — it never touches our servers. Platform activity (proposals, acceptances, payments, credits, disputes, account changes) is written to immutable audit logs used for security, compliance and dispute resolution.

6.Retention & the statutory 7-year period

Active pitch data is retained while your Proposal Vault is open. If you do not select an agency, identifying contact details are removed after the pitch window expires, leaving only de-identified data.

You may close your account at any time, and we will anonymise your personal information. However, financial ledgers, introduction fee receipts, transaction records and the associated system audit logs must be retained for a mandatory 7-year period under the New Zealand Real Estate Agents (Audit) Regulations and Inland Revenue rules, before permanent purging. Those retained records are masked so they no longer identify you personally wherever the law allows.

7.Your privacy rights under the Privacy Act 2020

Under the Privacy Act 2020 you have the right to:

  • Access the personal information we hold about you.
  • Ask us to correct it if it is wrong.
  • Ask us to delete it, subject to the statutory retention period above.
  • Withdraw consent for processing we perform on the basis of your consent.
  • Complain to the Office of the Privacy Commissioner if you believe we have breached your privacy.

To exercise any of these rights, email privacy@propmanagercompare.co.nz. We will respond within 20 working days, as required by the Act.

8.Cookies & analytics

We use essential cookies to keep you signed into your Proposal Vault and analytics to understand how the site is used. You can disable non-essential cookies in your browser. We do not use cross-site advertising trackers.

9.Children

PMCompare is not directed at children under 18, and we do not knowingly collect their personal information.

10.Contact & complaints

Privacy enquiries or complaints should be directed to our Privacy Officer at privacy@propmanagercompare.co.nz. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner.
